AppMail’s namesake product is a new e-mail tool that allows users to collect and consolidates all e-mail responses as one organized response. The tool offers specific solutions to common HR problems such as Sarbanes-Oxley and time-off management.

AppMail is especially effective at helping employers keep worker compliance agreements up to date. When employees sign agreements—covering everything from the Family and Medical Leave Act, vacations, sick leave, IT guidelines, and Sarbanes- Oxley affirmations—they need to be informed of updates when policies or legislative changes occur. HR departments are required to distribute updated policy information to existing employees and receive confirmation of receipt and review. Currently, e-mail is most often used for distribution, but there are limitations. Manually processed responses make audit trails difficult to trace and compliance tracking complicated.

AppMail’s policy distribution tool can deliver the entire company policy or a section of the policy, in any format, to the inbox of each employee. The communication tool also captures responses such as an affirmation that employees have read and understood the policy. It offers the capability to store employee questions or concerns that need to be addressed. More importantly, appMail can also resend the message to recipients who have not responded as many times as desired. The tool is designed with an escalation procedure, which distributes follow-up notifications to managers to ensure that employees have read and understood the new policy. Reporting isalso available on responses, unresponsive employees, feedback, and scoring.

The distribution tool provides complete visibility of recipients and responses and decreases the time it takes to collect affirmations. Employers are able to limit legal issues regarding employee misconduct by creating an audit trail that shows reasonable steps were taken in providing all information to employees. Companies can comply with all legal requirements to create a safe, secure, and satisfying work environment for employees.

Collecting and managing paid time off (PTO) information from employees in different locations is often difficult. It is possible to gather inaccurate PTO information, which, in turn, can create unforeseen financial setbacks. AppMail’s Leave Management function helps manage absenteeism for exempt and non-exempt employees. By using appMail, your employees respond to PTO inquiries using e-mail instead of responding through a web page or separate application. The tool helps employees accurately track their own PTO information and respond to PTO requests. Management can easily trace and manage an audit trail.
